We are currently seeking a Trade Show Coordinator (internally known as Trade Show Specialist). This position is crucial to the management of the planning, development and execution of effective and efficient trade shows. This person will report to the Sr. Creative Services Manager and be responsible for a range of 25-35 trade shows per year with an overall budget of approximately $2 million dollars exclusive of T&E and events such as the Sales Meeting. In addition this position is responsible for monitoring and reconciling the multiple company budgets and recommending ways to contain and lower costs. This position is responsible for building and maintaining close working relationships with EID, ID, FRMU, FNDU, CDI and any other companies that may need assistance, as they arise, and will be accountable to each Business unit for producing successful trade shows and event. The candidate is responsible for managing the show budgets for EID and ID and to deliver the most cost effective solutions. Must be able to work in a team situation as well as capable of performing individually with minimal supervision. This position interacts daily with Senior management and all levels of mangers and should be able to maintain positive relationships. The key role to this position is the interaction with the exhibit house and the account executive from the exhibit house.

Trade Shows

Responsibilities include, but are not limited to the following:
  • Have experience in the trade show and event planning industry.
  • Build strong relationships with internal clients
  • Design initial floor plans to meet marketing goals
  • Work with outside exhibit company to refine floor plans to produce cost effective plans
  • Work with exhibit company to coordinate all third-party costs including labor, AV, construction
  • Document all third-party show expenses such as electrical, drayage, freight, telecommunications, and graphics to avoid exhibit house mark-ups.
  • Have strong working knowledge of trade show production and be the first level liaison with the exhibit house.
  • Maintain exhibit property inventory top facilitate leveraging these properties across shared services.

  • Negotiate all Trade Show Hotel Room Blocks
  • Recommend cost effective alternative for the purchasing of supplies and materials.

  • Be responsible for maintaining the annual budget.
  • Update and maintain EID and ID trade show budgets including SAP functions of monthly reconciles and reports
  • Recommend cost effective alternative for the purchasing of supplies and materials.

  • 3-5 years’ experience in the Trade show/Events management or exhibit account management industry.
  • Knowledge of Trade Shows, trade shows booth construction and Creative Production.
  • Strong written and verbal communication skills
  • Strong Excel Skill

  • 2-4 years’ experience in the Trade show/Events management or exhibit account management industry
